Sending Encrypted Email

Emailing confidential / sensitive information (protected health information, personally identifiable information, payment card information, Social Security numbers, etc.), to external email addresses / outside of Premier Health is strongly discouraged, but it is recognized that there are business needs that require it to occur.

To this end, Premier Health provides an email encryption solution through Zix Corp.

Keyword Triggered:                                  

While encryption can be automatically triggered by the Zix system sensing keywords and encrypting emails as appropriate, it is not 100% effective so it is highly recommended that if you are knowingly attempting to email confidential / sensitive information outside of Premier Health that you -  

  • Enter   phsecure   in the subject line (anywhere in the subject line but all eight characters, no spaces and any mix of upper / lower case is fine – PHSecure, PHSECURE, phsecure all work).
  • Do not enter any confidential / sensitive information in the subject line. 
  • Include a statement in the email body that the email and its contents are confidential and that it should not be forwarded.
  • Prior to sending the email containing confidential / sensitive email, please educate the recipient with the information from the “RECIPIENT EXPERIENCE” tab of this web site so they will know how to interact with the encrypted email notice when it arrives.

*If you don’t want “phsecure” to appear in the subject line of your email, another method of forcing an email to be encrypted involves setting the email’s “Sensitivity” to “Confidential”

From the Outlook email program -

1) Create email

2) Clicking on the show all toggle in the “Tags” section

3) Choosing the “Sensitivity” pull-down

4) Select “Confidential”. 

From Office 365 –

1) Create email

2) Click on “triple-dots” – “…  “ and choose “Show message options”

3) Choose pulldown for “Sensitivity” and choose “Confidential”
